Scope

This policy explains how Yula Digital OÜ (“Yula Digital”, “we”, “us”) processes personal data when you visit yula.ee, contact us or engage with us regarding our services. In some client projects, Yula Digital may process data on a client’s behalf under a separate agreement; in those cases, the client remains responsible for its own privacy information.

Personal data we collect

Information you provide. When you email us, we may receive your name, email address, organisation, job title, message, attachments and any other information you choose to provide.

Technical information. Our hosting and security systems may record limited technical data such as your IP address, browser and device type, request time, pages requested and security events.

Business relationship information. If we discuss or provide services, we may process contact details, correspondence, project information, contractual records and billing information.

Why we use personal data

We use personal data to respond to enquiries and take steps requested before entering a contract; provide and administer agreed services; issue and retain contractual or accounting records; operate, secure and improve the website; prevent misuse; and establish, exercise or defend legal claims. Depending on the situation, our legal basis is taking pre-contractual steps or performing a contract, complying with a legal obligation, our legitimate interests in operating and protecting our business, or your consent where we specifically request it.

Cookies and analytics

At the date of this policy, the public-facing website does not intentionally use analytics or advertising cookies. WordPress may use essential cookies for administrators who log in; these support authentication, security and display preferences. If we introduce analytics, advertising tools or other non-essential cookies, we will update this policy and request consent where required.

Sharing and service providers

We do not sell personal data. We may share it only where necessary with hosting, email, IT, security, accounting or professional-service providers acting for us; with project partners where this is necessary and appropriately agreed; or with public authorities when required by law. Providers acting as processors may use data only under our instructions and appropriate contractual safeguards.

International transfers

We aim to use providers that process data within the European Economic Area. If personal data is transferred outside the EEA, we use a lawful transfer mechanism, such as an adequacy decision or the European Commission’s standard contractual clauses, together with additional safeguards where appropriate.

How long we keep data

Enquiry correspondence is generally kept for up to 24 months after the last meaningful contact, unless a business relationship develops or a longer period is needed for legal claims. Contractual and accounting records are retained for the periods required by applicable law. Technical logs are kept only for the operational or security period required by our providers, unless an incident requires longer investigation. When data is no longer needed, it is deleted or anonymised.

Your rights

Subject to the conditions of the GDPR, you may request access to your personal data, correction, deletion, restriction, portability, or object to processing based on legitimate interests. Where processing relies on consent, you may withdraw it at any time without affecting earlier lawful processing. To exercise a right, email hello@yula.ee. We may request information needed to verify your identity and will normally respond within one month.
